Privacy notice

This notice explains what personal data SG Sign Group Ltd collects through signgroup.uk, why we collect it, who we share it with and what your rights are. It applies to this website and to enquiries you send us through it.

We only collect what you choose to send us, plus a small amount of technical information needed to run the site securely.

• Your email address
• The details of the sign you entered: sign type, width, illumination, installation option and, if you give it, the site postcode
• The guide price the estimator calculated

• Your name, email address and, if you give them, your company name and phone number
• What best describes you, the sign types you are interested in, the site postcode, your timescale and how you would like us to reply
• Anything you write in the message box

• Your name, email address, site postcode and, if you give it, your phone number
• The service you asked about, anything you write about the sign, and for a survey when suits you
• Any photos of your site you choose to upload. They are emailed to our team with your enquiry and are not stored in our database. Photos can show people, vehicles or neighbouring premises: please avoid that where you can.

• Your name, email address, phone number and delivery (and, if asked, billing) address, entered on Stripe's checkout page
• What you ordered, the amount paid and your order reference
• Your card or other payment details go to Stripe, not to us. We never see or store them.

• Your company name, your name and email address, and your phone number if you give it
• Your message

• Your name, and a phone number or an email address (at least one), plus your company name if you give it
• The products you ticked as of interest and anything you write in the message box
• The campaign tags in the link you followed (for example that you scanned the code at the NEC show), so we know where the enquiry came from

Please do not include sensitive personal information in a message. We do not ask for it and do not need it to quote for a sign.

• Your IP address and browser user agent, used to limit repeated submissions and to investigate abuse
• The page you sent the form from

We do not sell your data, we do not use it for automated decision-making, and we will not add you to a marketing list because you sent an enquiry.

• To reply to your enquiry, prepare a quote or estimate, and arrange a site survey. Legal basis: our legitimate interest in responding to people who contact us, and steps taken at your request before entering into a contract.
• To send you an automatic confirmation that your enquiry arrived. Legal basis: legitimate interest.
• To protect the site and our forms from spam and abuse. Legal basis: our legitimate interest in keeping the service secure.
• To measure how the site is used with analytics cookies. Legal basis: your consent, which you can refuse or withdraw at any time.
• To take payment for, fulfil and deliver a shop order, send your receipt, and handle cancellations, returns and faults. Legal basis: performance of our contract with you.
• To keep records we are legally required to keep, for example orders and invoices, or an enquiry that becomes an order. Legal basis: legal obligation.
• To prevent payment fraud, which Stripe does on our behalf at checkout. Legal basis: our legitimate interest in not accepting fraudulent payments.

We use a small number of service providers to run the site. They process data on our instructions and only for the purposes below.

• Stripe: processes shop payments on its own secure checkout page. Stripe receives your payment details, name, email, phone number and address, and uses them to take the payment and to prevent fraud. For fraud prevention Stripe acts as a separate controller under its own privacy policy (stripe.com/gb/privacy).
• Resend: delivers the email that carries your enquiry or order to our team, and the confirmation email or receipt sent to you.
• Neon: hosts the database in which form submissions and order records are stored.
• Vercel: hosts the website and keeps short-lived server logs, which include IP addresses. Vercel Web Analytics gives us anonymous, aggregated visit counts without cookies.
• Cloudflare Turnstile: checks that a form is being sent by a person and not a bot. To do this Cloudflare receives your IP address and technical signals from your browser. It is not used for advertising.
• Google (Google Tag Manager and Google Analytics 4): website analytics, only if you accept analytics cookies.
• Google Maps: the map on our contact page is provided by Google. When that page loads, your browser connects to Google, which may set its own cookies under Google's privacy policy.

Some of these providers are based in, or may process data in, the United States or other countries outside the UK. Where that happens the transfer is covered by an adequacy decision (including the UK Extension to the EU-US Data Privacy Framework, where the provider is certified) or by the International Data Transfer Agreement or Addendum to the standard contractual clauses.

Enquiries and estimates are kept for 24 months after our last contact with you, then deleted, unless the enquiry became an order, in which case the related records are kept for as long as tax and accounting law requires (normally six years).

Shop orders and the records that go with them are kept for six years from the end of the financial year of the order, as tax and accounting law requires. Stripe keeps its own payment records under its policy.

Server logs are kept by our hosting provider for a short period, normally no more than 30 days.

The site works without cookies. The first time you visit we ask whether you accept analytics cookies. Nothing that is not strictly necessary is loaded until you accept, and refusing costs you nothing.

Your choice is remembered in your browser's local storage under the name sg-consent. It is not a cookie, holds no personal data and is never sent to us.

If you add products to the cart, the cart is kept in your browser's local storage under the name sg-cart, so it is still there when you come back. It holds only the products and quantities, is never sent to us until you check out, and is cleared when an order completes. Stripe's checkout page, which is on stripe.com, sets its own strictly necessary cookies for payment security and fraud prevention.

If you accept, Google Analytics sets the following cookies:

• _ga: tells visitors apart, so we can count visits. Lasts up to 2 years.
• _ga_<container id>: keeps the state of your current visit. Lasts up to 2 years.

You can change or withdraw your choice at any time with the "Change cookie settings" button on this page, or by clearing this site's data in your browser. Vercel Web Analytics and Cloudflare Turnstile do not set tracking cookies.

Under UK data protection law you have the right to:

• be told how your data is used, which is the purpose of this notice
• ask for a copy of the personal data we hold about you
• ask us to correct data that is inaccurate or incomplete
• ask us to delete your data
• ask us to restrict how we use your data
• object to our use of your data where we rely on legitimate interest
• ask for your data in a portable format
• withdraw consent at any time, where we rely on consent

To use any of these rights, email info@signgroup.uk. We will reply within one month. There is no charge. We may need to confirm your identity before we act.

If you are unhappy with how we have handled your data, please contact us first so that we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection.
